PDF’s – Stop Aggravating Your Clients!

Listen, Portable Document Format (PDF) files are a wonderful thing. We can send them to anyone and they can open, print, even edit them, regardless of the system they’re on or the software they use. They are the great equalizer, the one universal system that makes everyone’s life easier, right? Well, yea . . . if you’re using them correctly. If you’re not, then you’re making your clients hate you!

 

What do I mean by that? Well, let me put this into perspective for you. Over the last few weeks, I’ve been dealing with insurance agencies and attorneys for some of the administrative functions here at ZenTek and they’ve set me at least a half-dozen PDF forms to fill out. That should have been a very simple process but the problem is that most people just don’t understand what a PDF is meant to do! Every file I received to “fill out” was nothing more than a flat, static, scan of a paper document that had been saved with a PDF extension. Luckily for me, I have Bluebeam Revu on my system so I could fill these out without too much trouble but I can’t help but think how frustrating this is for most of your clients. Think about it: do you really want to make someone print out a 16-page form and fill it in by hand? That’s what most of your clients need to do with static forms and they are not going to be happy with you for it.

 

The key to good PDF use is to make it simple on your client. You, as the sender, need to build dynamic PDF’s with fillable text boxes, drop down menus, and check boxes to make your client’s life easier. Not only does that make your client happy, it gives you better information to work with. You make sure they’re typing in the PDF instead of your staff wasting time trying to decipher the chicken-scratch they call handwriting. You make sure they are choosing the correct options via drop downs, etc. You also get the ability to extract that information to other systems like a CRM or an Excel spreadsheet.
